Google Workspace. Renewing a Subscription

Commercial Annual Subscriptions to the Google Workspace Service Annual monthly (billed monthly) and Annual yearly (one-time billed) use delayed renewing: automatically or manually — with the possibility to change the amount of the Resources. For the general description of the procedure, see Delayed renew subscription.

Renewing a Subscription to the Google Workspace Service has the following specifics:

  1. The amount of every Resource in a Renewal Order can be only equal to one of the following:
    • The current number of licenses on the Google side (set by default in a Renewal Order).
    • The number of active assigned licenses on the Google side at the moment when the Subscription is renewed (can be set manually in a Renewal Order).
      For a manually created Renewal Order, to validate the amount of a Resource, the platform checks the current number of licenses and the number of active assigned licenses on the Google side.
  2. On the Subscription expiration day, the platform checks these numbers on the Google side one more time and compares them with the amount of a Resource in the Renewal Order:
    • If the amount of a Resource in the Renewal Order is equal to the current number of licenses on the Google side, the platform renews the Subscription on the Google side with the same amount of the Resource in the Subscription, and completes the Renewal Order.
    • If the amount of a Resource in the Renewal Order is equal to the number of active assigned licenses on the Google side, the platform renews the Subscription on the Google side with the reduced amount of the Resource in the Subscription, and completes the Renewal Order.
    • If the amount of a Resource in the Renewal Order is NOT equal to the current number of licenses and number of active assigned licenses on the Google side:
      1. The platform renews the Subscription on the Google side by switching the Subscription to the Flexible plan on the Google side. The Account can continue using the Service.
      2. On the platform side, the Subscription remains in the Renewing status, and the Renewal Order — in the Provisioning status.
      3. Every hour the platform checks the current number of licenses and number of active assigned licenses on the Google side and compares them with the amount of the Resource in the Renewal Order.
      4. If the amount of the Resource in the Renewal Order appears equal to the current number of licenses or number of active assigned licenses on the Google side, the platform starts checking every hour the type of the Subscription plan on the Google side.

      5. If the type of the Subscription plan on the Google side appears equal to Annual monthly or Annual yearly, the platform completes the Renewal Order.

        The situation when the amount of a Resource in a Renewal Order is NOT equal to the current number of licenses and number of active assigned licenses on the Google side occurs if, in the Google Admin Console, the number of active assigned licenses was changed after creating the Renewal Order in the platform.

        To renew the Subscription on the platform side, contact the Manager to switch back to the original Annual plan and temporarily change the number of active assigned licenses to the original number in the Google Admin Console until the platform completes the Renewal Order.

  3. On the Google side, the Subscription is considered renewed when the start date of the commitment interval (the startTime parameter) is greater than or equal to the current expiration date of the Subscription on the platform side.
  4. On the Google side, all Subscriptions are renewed in Pacific Standard Time, which is 10 hours later than the platform time. It means that the renewing process always takes at least 10 hours. Before completing the Renewal Order, the platform every hour checks and compare the start date of the commitment interval of the Subscription on the Google side and the current expiration date of the Subscription on the platform side.
  5. After completing the renewing process, the Subscription gets the Active status without recalculating the amount of the Charges linked to the Renewal Order.
  6. If the Payment for the Renewal Order is not completed in time, the Subscription stops. The platform sends information on the Google side to move the Subscription in the Suspended status.
